Edit Sage Pro Payroll Once the Quarter Has Been Closed Twice

Solution:

The Sage Pro Payroll quarter has been closed twice and is now in the incorrect quarter. This article explains which tables and fields needs to be edited if this scenario occurs and no backup is available.

Note: This applies only to the scenario where no transactions have been conducted in the incorrect quarter.

 

It is strongly recommended that a full and verified backup be created before closing the quarter or year in ACCPAC Pro Series Payroll. Therefore if a problem occurs when closing Payroll, restoring fully from the backup is the simplest and easiest solution. However if no backup is available, data edits will be necessary to reverse the second close.

Every record for the month and quarter needs to be edited and the extra records must be edited and combined in the following tables:

  • PRSUMR
  • PREHPT
  • PREHDE
  • PREHTX
  • PREMWG
  • PRHDDT
  • PRCHCK
  • PRDIST

Example
The current Payroll quarter is one and year is 2005. Quarter one is closed correctly, however, quarter two is also erroneously closed. The current quarter is now three; it should be quarter two. The following steps may be used to edit the tables and correctly reverse this incorrect close:

  • These edits may only be done if no postings have occurred in quarter three.
  • Ensure that there is a complete and verified backup before continuing.
  • In SYSDATA.DBF, change the value in the Str10 field from “32005” to “22005.” Do not remove trailing strings.
  • In PRSYSDXX.DBF, change the value in the Str10 field from “32005” to “22005.” Do not remove trailing strings.

Note: The XX refers to the company number. For example in the sample company, this file would be named PRSYSD99.DBF.

Delete and pack the following records

  • PRSUMRXX.DBF
    Sumonth “04” and Suyear “2005”
    Sumonth “05” and Suyear “2005”
    Sumonth “06” and Suyear “2005”
    These “04”, “05,” and “06” are 2nd quarter summary records.

Delete and pack the following records for all employees

  • PREHPTXX.DBF
    Ptqtr “03” and Ptyear “2005”
  • PREHDEXX.DBF
    Deqtr “03” and Deyear “2005”
  • PREHTXXX.DBF
    Txqtr “03” and Txyear “2005”
  • PREMWGXX.DBF
    Wgqtr “03” and Wgyear “2005”
