Archiving IC Data Could Change On Hand Values at Location

Issue

Archiving IC causes ICILOC to go out of sync with ICITEM/ICIQTY. When archiving in Sage Pro 7.5 with Service Packs installed the ICILOC file goes out of sync with ICITEM and ICIQTY if there is a discrepancy with the item calculated in IC for whatever reason.

Solution or Workaround

Patched in Pro 2010 and fixed in Pro 2011

Cause

 

Steps to Duplicate

1. Run SM | Transaction | System Recovery | Recalculate Application Balances for Company 99 IC. You will likely see that nothing comes up… at least not for the ICILOC.LONHAND or ICITEM.IONHAND amounts.
2. Go to IC 99 and bring up item HD11.5G – note there are 375 onhand on the Item Maintenance screen.
3. Go to Item at Location for the same item and note that it also shows 375 onhand.
4. Go into FoxPro Access and open ICTRAN99. Delete the record for TRANNO 1348 (which is a PO for 100 of the HD11.5G item)
5. Run SM | Transaction | System Recovery | Recalculate Application Balances for Company 99 IC (do not update) and note that item HD11.5G now shows that there is an issue with ICILOC.LONHAND but it does not give the discrepancy reports for ICITEM, ICILOC and ICIQTY because all three match.
6. Now archive for IC 99 (SM | Transaction | Archive Transactions).
7. Run SM | Transaction | System Recovery | Recalculate Application Balances for Company 99 IC and note that now it says that ICITEM.IONHAND not the ICILOC file has a balance issue for this item. It also prints the reports to indicate that there is a discrepancy between ICITEM, ICILOC and ICIQTY because the archive changed ICILOC.
8. Go into IC | Maintain | Inventory Items and bring up item HD11.5G and note that the onhand quantity is 375 on the item. Then go to Item at Location for the same item and note that it now shows 275 there.

Expected Behavior

The Archive Transactions process should not be recalculating and changing numbers for onhand quantities. Even the recalculate balances won’t change those numbers; the reports say the user has to do it by going in and entering counts.
